Printer Types Editor

Use the Printer Types editor to create a list of printer names that you use for your printing purposes, such as "letterhead", "labels", and "envelopes". You can then assign these printer types to your actual printers with the Mail Merge printer selection window.

Click to OpenCreate Printer Type Names

Use the Printer Types editor to create printer types, and edit printer type names, if needed.

Click to OpenOpen the Printer Types Editor

Select Editors from the Tools section of the Home ribbon bar. Then, from the General section, open the Printer Types editor. (You can also use the Search field to look for the editor you want to work with.)

Click to OpenAdd a New Printer Type

Click New, then enter a name for this printer type. The name should reflect the type of paper or printing quality that will be available from the printer you assign to this printer type. If you accidentally create a printer type, exit the Editor without saving it. Otherwise, once saved, you cannot delete a printer type. You can, however, flag it as Inactive.

Click to OpenInactive Option

Once you create a record, you cannot delete it. You can, however, flag it Inactive. Records you flag as Inactive are not available for general use, but they remain in your system for reporting and other data collection needs. In addition, you can toggle records back to Active whenever needed.

Click to OpenRename a Printer Type

Click a name in the list to edit the description.

Click to OpenSave Changes

Click Save in your Quick Access toolbar or File ribbon bar (or press Ctrl+S on your keyboard) to save any changes you have made.

Click to OpenAssign Printer Types to Your Printers

Open the Mail Merge window and select any document. Then click Printers to open a window with your list of printer types. Use the drop down beside each printer type description to assign the printer to use for that type of document. When finished, click Ok at the bottom of the printers window to save your changes.

If you do not assign a printer to a printer type, you will be prompted for the printer to use as a document that is assigned to that printer type is merged.
