Office Editor

Use the Office editor to identify office locations in your practice. The patient's financial transactions and appointments default to the office assigned to the patient folder. Much of the data entered in this editor links to the Contact page of your Practice Connect app. If you use Online Scheduling, your Scheduler chairs must be assigned to office locations, and prospective patients can optionally see the office logo you enter here on their form they fill out to book an appointment with you.

Select Editors from the Tools section of the Home ribbon bar. Then, from the Practice section, open the Offices editor. (You can also use the Search field to look for the editor you want to work with.)

Provide Credentials - Enter your Edge Cloud user name and password. Only operators assigned to a security model that allows full access to the Office Editor setting of the Practice Administration group can make changes in this editor. See "Security Editor" for details.

Click New to create a new office location for your practice, or choose to work with an existing record. If not all your records appear in the list, enable the Show Inactive option.

All of the settings in this editor are system-wide: When you change a setting, it changes for all Edge Cloud users and computers in your system. As noted in the descriptions below, certain information about each active office will appear on the Contact page of your Practice Connect app; the information for inactive offices will not be included in the app.

Inactive / Active ToggleClosed - Once you create a record, you cannot delete it. You can, however, flag it Inactive. Records you flag as Inactive are not available for general use, but they remain in your system for reporting and other data collection needs. In addition, you can toggle records back to Active whenever needed.

Name / AliasClosed - Use the Name field to enter the name of this office. If you have multiple offices, be sure the name is different enough so it is easy to select the correct location for your patient folders. You can optionally enable the Alias option, then enter a Formal Name for your own purposes, and a Display Name to use when your patients receive communications via your online services, such as Online Scheduling and Edge Reminders. The name is included on your Practice Connect app.

AbbreviationClosed - Enter an abbreviation for this office. Make sure the abbreviation is easy to distinguish from other office records in your practice. This information is not linked to your Practice Connect app. The abbreviation appears on the Patient Information Panel of the patient folder, among other places in your system.

Address, City, State, Zip, PhoneClosed - Enter the local street address and phone number for this location. This data appears under the heading for this office on the Contact page of your Practice Connect app. You can choose to enter a different billing address for this office, if needed, on the right side of the screen.

Latitude / LongitudeClosed - Enter the latitude and longitude of this office to allow patients to sign in for their appointment once they come within a certain distance of your office. To find the coordinates, go to www.maps.google.com and enter your street address. Right click the location on the map and select What’s Here? Under the search box, an information card with the coordinates will appear. Latitude is listed first, then longitude.

Email AddressesClosed - You can enter several email addresses specific to this office to facilitate routing messages to the correct staff member. Each email address will appear under the heading for this office on the Contact page of your Practice Connect app. In addition, when prospective patients use Online Scheduling to schedule an exam, an automated email will be sent to them using the Scheduling Email field for the selected office as the reply address. This email address can be different for each office location.

NPI Type 2Closed - The NPI (National Provider Identifier) field complies with the Health Insurance Portability and Accountability Act (HIPAA), allowing a 10 digit number. You may be required by law to have this number appear on paper and/or electronic insurance claims. This information is not shared with your Practice Connect app.

License & Tax ID NumbersClosed - Record the appropriate tax and license identification numbers for this location. This information is not shared with your Practice Connect app.

CDA Provider NumberClosed - (Applies to practices integrating with CDAnet/ITRANS insurance processing. If you practice in Canada, you must enter the CDA Provider Number here in order to submit insurance claims via CDAnet/ITRANS directly through Edge Cloud. You can use the search icon to help you find the appropriate code. See "Canadian CDAnet/ITRANS Insurance Processing" for details.

Foursquare IDClosed - Enter the foursquare id for this location. This information appears under the heading for this office on the Contact page of your Practice Connect app.

Color CodeClosed - You can optionally select a color to represent this office. The color assigned to the patient's office in the Office editor is the background color of the patient folder header.

Use the Form Email Templates section of your Offices editor to select which appointment card and receipt template to use when sending forms via email. Edge Cloud will select the receipt template according to the office assigned in the patient folder, and the appointment card template according to the office assigned to the scheduled appointment (not necessarily the patient's assigned office). If this office's physical address is different from the billing address, enter the billing address here. You can use the drop down button to select a billing address you have already created, or click Add to add a new billing address for your practice. This address will be used on patient statements and other financial documents and forms.

The logo you link to the Offices editor will be used in a variety of locations throughout your Edge Cloud system, including on your Online Scheduling forms and the Edge Proposal app. Each office can have its own logo, or you can use the same logo for multiple offices. To select a new logo graphic, click the Browse icon in the Logo section of the Offices editor, and navigate to your logo file. Or, to use the same logo that is already assigned to a different office, click Copy, and choose the logo you wish to copy to this office. You can also click Delete to clear the logo from this office record.

Click to OpenAssigned Orthodontists and Assistants

Assigned OrthodontistsClosed - Select the doctors that practice at this office. If an operator does not have rights to access this office's data, that operator will not be able to access the assigned orthodontist's data, including patient, appointment, and financial information. (See "Operator Editor" for details about assigning offices to operator accounts.)

Assigned AssistantsClosed - Select the assistants that work at this office. If an operator does not have rights to access this office's data, that operator will not be able to access the assigned assistant's data, such as patient appointment information. (See "Operator Editor" for details about assigning offices to operator accounts.)

Click Save in your Quick Access toolbar or File ribbon bar (or press Ctrl+S on your keyboard) to save any changes you have made.

Run the Office List report to obtain a list of the active records in your Office editor. The report includes the office name, abbreviation, address, phone number, and main email address. Additional email addresses in the Office editor, such as the Financial and Scheduling emails, are not included in this report. Only active records are included in the report: Any items flagged Inactive in the editor are omitted. See "Office List" for details.
