Operator Log
Run an Operator Log report to review operator activity for various functions within
This report gets its data from many locations and events throughout Edge Cloud, as detailed at the end of this article. Be sure to read the descriptions at the end of this article, and choose your report options carefully in order to obtain the results you are looking for.
Select Reporting from the Reporting section of the Home ribbon bar. Then from the Audit section, open the Operator Log report. You can double-click the report name, or click Run at the top of the window to continue. (You can also use the Search field to find the report you want to work with.) You might also be able to run this report or form from your Recent Reports or Quick Reports list.
Select the options to use for choosing records and generating this report. Choose carefully, as your selections will affect which patients are included in the report. Show/Hide icon in the upper left corner of the Reporting window.)
Enter the range of dates to include on this report, or select a single date for both the Start Date and End Date fields to run the report for an individual date. You can type a date in the fields, or click the calendar icon to select a date. Your selected date or date range will appear just under the report title when you view your report; if you select a date that is not today, this date will be different than the run date that appears in the report header.
You can optionally enable the All Time option to view the activity for all dates and times. Generally, this option is used when want to see the results only for a specific activity, operator, or patient.
Select which type of events to include on the report. The list of available events depends on which event type you choose. System events include invalid log in attempts; Patient events include activities such as accessing various areas of the patient folder, changing the primary id number, and changing contract fees; Operator events include activities such as logging in, logging off, patient folder access, and fee changes. You can also choose to include both Patient and Operator events, or select to include All event types on the report. After selecting an event type, you may choose one or more events to include.
Choose which activities you want to include on the report. Your choices depend on the event type you selected above. You can enable and disable events individually, or use the All and Clear buttons to select / deselect all events. Event details and descriptions are listed at the end of this article.
If you selected the event type of Patient, Patient and Operator, or All, you can limit the events to an individual patient, or clear the Patient field so it is blank to include events for all patients. You can also select to limit the results to a subgroup.
If you selected the event type of Operator, Patient and Operator, or All, you can limit the report results of to include all employees with both active and inactive Operator accounts, all employees with an active Operator account, or only certain employees with active Operator accounts.
Include Admin, All Active Employees, and All Inactive Employees - Leave the Employee option of the Operator Log report blank, or click Clear to clear all Employee selections. The report will then return results that include your Edge Cloud Admin user, as well as all active and inactive accounts in your Operator editor.
Include All Active Employees, Excluding Admin - Select all the names in the Employee option of the Operator Log, or click All to select all active employees. The report will then return results that include all active accounts in your Operator editor, but excludes activity logged by your Admin user.
Include Specific Employees - Select to include one or more individual employees from the Employee option of the Operator Log. Only those with active accounts in your Operator editor are listed.
You may optionally select a subgroup to use when generating this report or form. Only records that fit your selected subgroup as well as all other report parameters will be included. See "Subgroup Editor" for details about creating your subgroups. To include all records that fit the other report criteria, select None. The report will display the name of your selected subgroup just under the report name, so you know which criteria was used to generate the results.
If needed, click View at the top of the report settings panel to view the results on your screen. When you run a report or form from your Recent Report list, or when you run a Quick Report, the initial results are sent to your screen immediately, with one exception: A Quick Report that has the Print Only option enabled will not show your results on the screen at all, but continue with the printing options. You can use the arrows in the View section of the ribbon bar to view additional pages of a multiple-page report. You can also use the dropdown button or type a number in the zoom field to change the size of the report in your window.
Whether you view the report on your screen or print it, the report title and run date appear in the header of each report page. If you used subgrouping or other report options, that information appears just under the report title so you know which criteria was used to generate the results.
If this report supports showing / hiding the details that comprise report totals, you can click the expand / collapse icons to show / hide the details. Not all Edge Cloud reports support this feature. If your cursor changes to look like a hand, the feature is available.
While viewing certain Edge Cloud reports, you can use the arrow beside certain column headings to re-sort the report according to that column’s criteria. Click the arrows a second time to sort that column in reverse order, or click the arrows beside a different column to change the sort order again. (Not all Edge Cloud reports support this feature. If your cursor changes to look like a hand, the feature is available.)
Get Detailed Report Description
Click the icon to the right of the View button to open the help article with the detailed description of the report.
With the results on your screen, you can choose the output with the toolbar at the top of the report window. See "Report Output Options" for details.
System events occur within Edge Cloud, but are not attributed to any specific patient record or operator account.
Patient / Patient and Operator Events
Patient events log changes made to Edge Cloud patient folders. You can search these events for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can limit the results to one or more specific operators that made the change.
Changed Contract Structure - The Changed Contract Structure event is recorded in the Operator Log each time someone makes any change to the contract structure, even if the change does not affect the total fee. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Changed Contract Treatment - The Changed Contract Treatment event is recorded in the Operator Log each time someone edits the Contract Details of an existing contract and changes the treatment phase associated with it. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Changed Late Fee - The Changed Late Fee event is recorded in the Operator Log each time someone edits the Contract Details of an existing contract and changes the late fee policy associated with it. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Contract Class Added / Removed - The Contract Class Added and Contract Class Removed events are recorded in the Operator Log each time someone edits the Contract Details of an existing contract and changes the contract class(es) associated with it. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Deleted Insurance Detail - The Deleted Insurance Detail event is recorded in the Operator Log each time someone deletes an insurance detail from the Insurance page of the patient folder. This does not include removing an insurance company from the Responsible Party page of the patient folder. Keep in mind that once an insurance detail has any financial record associated with it, including a receipt posted to it, or a contract amount allocated to it, even if no payments have been received, it cannot be deleted. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Open Patient Folder - The Open Patient Folder event is recorded in the Operator Log each time someone opens an Edge Cloud patient folder, regardless of how the folder was opened (i.e. with Fast Find, from the Scheduler, with a Workflow, or from a report or Stacks link). If they use the tabs at the top of the patient folder to go to other pages without closing the folder first, the Operator Log records only one event. However, if they close a patient folder, then re-open the same folder again, the Operator Log records each event separately. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Patient Address Changed - The Patient Address Changed event is recorded in the Operator Log each time someone edits the Patient Information Panel and changes any part of the patient address. Both the original and the new data are included on the report. If you change a responsible party or other related address, and use the Update Linked Info window to update the patient address along with it, the change is not recorded in the Operator Log. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Patient Default Specialty Changed - (Edge Specialist users only.) The Patient Default Specialty Changed event is recorded in the Operator Log each time someone edits the Patient Information Panel and changes the default specialty assigned to the patient. If you simply add a specialty to a patient, but do not change the default, the change is not recorded in the Operator Log. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Patient Office / Orthodontist Changed - The Patient Office Changed and Patient Orthodontist Changed events are recorded in the Operator Log each time someone edits the Patient Information Panel and changes the office or orthodontist assigned to the patient. Both the original and the new data are included on the report. If you have Edge Specialist, only changes to the office and orthodontist associated with the orthodontics specialty are recorded: Changes to the pediatric dentistry specialty are not recorded. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Patient (Treatment) Phase Changed - The Patient Phase Changed event is recorded in the Operator Log each time someone edits the Patient Information Panel and changes the treatment phase assigned to the patient. Both the original and the new data are included on the report. If you have Edge Specialist, only changes to the office and orthodontist associated with the orthodontics specialty are recorded: Changes to the pediatric dentistry specialty are not recorded. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Patient Primary Code Changed - The Patient Primary Code Changed event is recorded in the Operator Log each time someone edits the Patient Information Panel and changes the primary id number for a patient. Both the original and the new data are included on the report. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Toggled "Is Fix" Flag - The Toggled Is Fix Flag event is recorded in the Operator Log each time someone either excludes or includes a receipt from the deposit total by right-clicking the receipt in the patient's ledger. This can only occur BEFORE the receipt is included on a finalized Transaction report. Receipts excluded from the deposit are still included on the Transaction Report, preceded by an asterisk ( * ). You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Treatment Coordinator Changed - The Treatment Coordinator Changed event is recorded in the Operator Log each time someone edits or removes the treatment coordinator on the Findings page of the patient folder. The event is recorded regardless of whether the patient's current treatment matches the treatment of the changed / removed TC. The event is not recorded when a TC is added to a patient when none existed previously. The names of the original and new TC are not included on the report. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
Unlink Online Form from Patient - The Unlink Online Form from Patient event is recorded in the Operator Log each time someone unlinks a processed form from the Online Forms service window. You can search this event for a specific patient, all patients, or a subgroup. When your Event Type is Patient, the report looks for changes made by any operator, whether or not the operator account is active or inactive in your Operator editor. When the Event Type is Patient or Operator, you can choose the operator(s) to include on the report.
View Ledger - The View Ledger event is recorded in the Operator Log each time someone opens the Finance page of the patient folder, regardless of how the page was opened (i.e. selecting the Finances tab at the top of the patient folder, or clicking a billing name in the Post Transactions window or the Financial Info panel of the patient Home page) If they use the tabs at the top of the patient folder to go to other pages without closing the folder first, the Operator Log records only one event. However, if they close a patient folder, then re-open the Finance page for the same folder again, the Operator Log records each event separately.
Operator events are available to you when your Event Type is Operator, Patient and Operator, or All. Operator events include activities performed by your Edge Cloud operators, including accessing certain areas of your Edge Cloud system, and updating passwords. Patient and Operator events include changes made to sensitive areas of your patient folders.
Account Locked - The Account Locked event is recorded in the Operator Log report each time someone tries to log onto Edge Cloud or access a secure area, such as a restricted editor, with an incorrect user name or password. When someone tries to log in unsuccessfully three times, Edge Cloud closes automatically. Because this event records invalid log in attempts, Edge Cloud cannot identify an operator to list on the report, so only the date and time are recorded on the Operator Log.
Changed Password - The Changed Password event is recorded in the Operator Log in two ways. First, when an operator is forced to change their own password by a password change policy, the event is recorded with that operator's initials. Second, when anyone's password is changed in the Operator editor, the event is recorded with the initials of the operator that was logged into Edge Cloud at the time. Note that if someone other than the operator logged into Edge Cloud accesses the Operator editor with their own credentials, it is still the operator logged into Edge Cloud that is recorded with the Changed Password event on the Operator Log report.
