Use the Contract Proposal Wizard to set up new proposed financial arrangements for the patient's treatment at your office.
Watch video tutorial. (Windows Media Player, an active Internet connection, and a valid Ortho2 customer login are required to run video tutorials, webinars, and training programs.)
You can instead use the Create New Contract tool to set up and apply a contract without first creating a proposal. Note that you cannot use your contract templates to create a new contract without first creating a proposal. See "Create a New Contract " for details.
Launch new proposal wizard - Choose New Contract Proposal from the Contract section of the Patient ribbon bar.
The wizard takes you step-by-step through the process. After completing a step, you can move forward or backward among all steps. Click Next to continue. Or, click Back to return to the previous step, or Finish to save the changes and exit the wizard.
Treatment phase and amount - Choose the phase of treatment and the total contract amount. Also enter a description that identifies this specific proposal.
(Click Next to continue.)
Financially responsible parties - Select the responsible parties and insurance companies that will be financially responsible for the patient's treatment fees. (When the patient receives insurance benefit money directly, the patient is responsible for paying you all financial obligations, and you do not include the insurance company as a member of the financial contract. You do, however, assign the insurance plan to the responsible party, and create an Insurance Detail record for that plan so that you can submit insurance forms on behalf of the patient.)
(Click Next to continue.)
Allocation - Enter the amount of the contract fee to allocate to each responsible party / insurance company. The sum of the allocations must equal the total contract amount. (Do not click Next yet if you want to use contract templates, described below.)
Contract template(s) - (Optional.) Select a responsible party to work with, then click Add and choose one or more contract templates to work with. Then click Close. The template(s) you selected are listed underneath the responsible party / insurance company name. Repeat the process for additional parties as needed. (See "Set Up Contract Templates" for details about creating contract templates.) When you finish the proposal, Edge will calculate the proposed payment schedule for each template separately. So, if you select multiple templates, you can instantly provide the responsible party with multiple payment options. If you do not select any templates, you can create a custom payment plan later.
Note that if you do not apply a contract template, you will need to manually edit the proposal's payment structure before you can apply it. See "Edit & Apply Contract Proposals" for details.
Finish - After completing the wizard, click Finish to continue and return to the Finance page of the patient folder.
Proposal notes & contract details - When you create a proposal from a contact template, the proposal will include the default late fee policy, contract class, and an optional note to the financially responsible party. Although you cannot alter the late fee policy or contract class of a proposal, you can edit the proposal notes. Once you apply a proposal and activate the contract, you will be able to alter the late fee policy and contract class as needed. (The proposal notes are eliminated at the point the proposal becomes an active contract.) See "Edit & Apply Contract Proposals" for details.
Treatment dates - When you create a contract from a proposal, you do not have the opportunity to enter the patient's treatment dates. In this case, remember to go to the Findings page of the patient folder to enter the dates. See "Add / Edit Findings in Patient Folder" for details.
Proposal schedule - Run a Payment Schedule
Proposed contracts report - Run a Proposed Contracts report to obtain a list of proposed contract amounts and start dates. The report includes the patient and responsible party names, treatment phase, estimated start date (if any), and contract amount. See "Proposed Contracts Report" for details.
